We begin with a consultation sized to your project – a brief call for a few boxes, or a detailed on-site visit for complex, high-volume requirements. Once scope, indexing requirements, and timelines are agreed, your documents are collected by our GPS-tracked fleet or vetted national couriers, with a full chain of custody from your premises to our secure bureau.

Step 2: Preparation & Digitisation

Every document is manually prepared by trained operatives: staples removed, damaged pages repaired, and records ordered for optimal scanning. We use industrial-grade Kodak, Context, Karabo and Bookeye scanners with ultrasonic double-feed detection to capture high-fidelity images. Intelligent document processing – combining advanced OCR with automated indexing – then converts your scanned images into structured, text-searchable digital assets ready for immediate use.

Step 3: Quality Assurance & Delivery

All output is checked against our ISO 9001 quality standards before delivery. Final files are provided via secure download, USB, or direct upload to your chosen platform  SharePoint, Pearl Cloud, or your existing DMS.

Step 4: Document Aftercare

Following successful delivery, we manage your physical originals according to your retention policy. Options include BS15713-certified shredding with a Certificate of Destruction, secure tracked return, or long-term managed storage in our document storage facilities.
