Transforming 60,000 Historical Records: The Joan Collins Archive Digitisation Project
May 15th, 2026Introduction
When you’ve graced the screen and stage for decades, your archive tells a story that deserves to be preserved for posterity. Dame Joan Collins, actress, producer, author, and entertainment icon, understood that her extensive collection of contracts, correspondence, and career documentation represented not just personal history, but a remarkable chronicle of British and American entertainment. Through Gibson Girl UK Limited, Joan Collins partnered with Pearl Scan Solutions to transform approximately 60,000 historical records from physical archives into a secure, digital library worthy of her legendary status.
The Challenge
Behind every iconic performance lies a paper trail, decades of contracts, production correspondence, scripts, legal documents, and industry communications that chronicle a remarkable journey from starlet to Dame Commander. For Joan Collins’ team, managing this vast physical archive presented several critical challenges:
The Archive Dilemma:
Years of irreplaceable documents stored across multiple locations, making retrieval a time-consuming treasure hunt that could take hours to locate a single contract or piece of correspondence.
Preservation at Risk:
Historical records deteriorating with age, vulnerable to damage, loss, or disaster – each document representing an irreplaceable piece of entertainment history.
Access Limitations:
Physical archives bound by geography, restricting the team’s ability to reference critical documents when needed for rights negotiations, biographical work, or legacy management.
Organisational Complexity:
A career spanning multiple continents, production companies, and decades required intelligent organisation – distinguishing between what could be retired, what needed preservation, and what demanded immediate digital accessibility.
The production required careful direction: a systematic approach to digitisation that would preserve the integrity of every document whilst creating a modern, searchable archive fit for the digital age.
The Solution:
Pearl Scan delivered a performance worthy of the leading lady herself. The project unfolded in carefully planned batches :
Pre-Production
The archive was strategically divided into two batches, allowing the Gibson Girl UK team to prioritise material: documents destined for secure shredding, records requiring digitisation.
Scanning
60,000 archived records were meticulously scanned with high document imaging quality. Each document received intelligent metadata tagging, capturing Document Date, Title, and Reference Number where applicable, whilst full-page Optical Character Recognition (OCR) technology made every word searchable, transforming static paper into dynamic, discoverable content.
Delivery
Following sampling, approval, careful file labelling, and rigorous quality control, the entire collection was delivered in a secure digital format, a perfectly transformed archive ready for its digital use.
Results
From first call to final cut, the project wrapped within a few weeks. Joan Collins’ team now enjoys instant access to their complete archive from anywhere in the world. What once took hours of physical searching now takes seconds with keyword searches. The digital preservation ensures these irreplaceable documents are protected from damage, with full backup security providing ultimate peace of mind.
