Document management system installed by PJH

PJH Group who supply kitchens and bathrooms have recently implemented a new document management system introduced by Version One. PJH believe that this resource will improve office processes so much that they will save around £550,000 over the next five years.
PJH already have an Oracle system in place which is now running smoothly alongside the new Version One system, they expect this system will vastly improve efficiency and enhance the image of the company as a whole.
The nine site’s which PJH currently have are implementing the new system which includes electronic form design, automated document delivery and electronic document storage. The company previously used outsourced scanning which was costing a lot, now around 2 million documents are flowing through the new systems.
With the new internal systems in place it meant that PJH could process their documents in-house which is their preferred method as they previously sent out bulk documents to a third party supplier. It would sometimes take up to a week before the documents were available online. The new systems give a fast return on investment and flexibility for the future.
Printed stationary has been reduced in the company now with most of this replaced by electronic forms such as the proof of delivery note (POD), statements, invoices and many more. These are designed by Version One’s form design system while incoming documents are scanned by a Kodak scanner of which 10 are installed across the sites.
PJH claim that staff will no longer have to search through paper work and pass around documents manually or through post as they are distributed electronically. Once all past documents have been scanned they will have their heads above water and be able to manage without the aid of third parties.
