Street furniture supplier Broxap uses a scanning solution to end their document nightmares

Broxap limited is one the leading manufacturers of street furniture in the UK today, with over 14,000 products its main customers include local authorities, architects and NHS trusts. They have recently installed a new electronic document management system and two scanners to end the ongoing problem of managing and searching through ever growing paperwork.
Staff are now able to generate faster and more efficient responses to customer queries as a result thanks to Kodak reseller Copifax.
Before they installed Copifax’s Invu electronic document management system, Broxap was physically run using faxes, any client correspondence or orders were documented.
Staff explained that there were endless filing cabinets full of paper which meant finding any document could take up to 20 minutes.
First of all Broxap wanted to transition towards a paperless office approach, secondly improve the response time for customer queries by locating the answers within the document management system and finally to raise levels of efficiency for staff by eliminating the time spent on document searching.
Each job would normally generate a lot of paperwork such as site surveys, sketches, photographs and invoices but since Invu was installed each document is now given an order number and any related documentation is indexed together.
This effectively means that when a client phones in to enquire about specific queries such as what paving is best suited to their site, the query is dealt with much faster than before.
Broxap scans up to 2000 documents a day which previously consumed countless staff hours. They were eventually introduced to the high performance Kodak i60 duplex desktop scanners of which they purchased two to take care of all document scanning.
With a far more ordered and efficient approach the Invu-Kodak EDM solution has largely changed how the company is run. Staff can now perform more important tasks and look after customers much more professionally.
