Pearl Scan document management solutions help organisations from solicitors to police

Pearl Scan solutions has recently helped solicitors, councils, universities and policing improvement with document management solutions to tailor their need and view their files with much more convenience.

Over the past year Pearl Scan have worked with a bureau within the police to produce training CD's which have resulted in much more co-ordinated and well conducted training sessions for police staff. Previous methods involved using manuals and slides and it wasn't the easiest training session to conduct.

Pearl Scan came up with an all in one solution by taking all the relevant booklets, electronic documents and images and combining them all on to one CD with a session breakdown using easy-to-follow drop down menus all branded and tailored to suit the trainers requirements for computer use. Prompts would be given to the trainer as to which area had to be covered next with relevant documents appearing on the screen for session or module preparation beforehand. All the training documents and slides are stored on the one training CD so everything the session required is broken down into time slots with each piece of relevant material attached. It has revolutionised the training for the agency and considerably increased convenience and efficiency for staff.

But this is not the only solution recently provided for large organisations. A handful of local solicitors around Greater Manchester have chosen to take on board Pearl Scan's e-bible which has been focused around law documentation.
The e-bible is a document management solution involves the scanning of a whole case file which can include indictments, contracts, evidence, bills, housing records and many documents relating to a case. These files are often bulky and finding one or two pieces of information can be a challenge. The e-bible was designed to overcome these inefficiencies. With all the documents scanned in they are then indexed electronically into easy to navigate point and click menus which contained all relevant documents. If one particular piece of information was required it could even be found instantly using a quick text search. Solicitors enjoyed the fact that they could extract information from a case file accessible on their network rather than searching through thick wads of paper to find it.

With these bespoke solutions and more Pearl Scan are constantly looking to improve workflow processes in the office and produce more document management solutions which can cut administration duties in half.
