Converting from paper documents to digital storage how organisations can benefit from desktop scanning

Date: 24/04/2008

Organizations today are constantly finding ways to develop more efficient operations and stay competitive. The main focus is aimed towards introducing methods to help them achieve big results with at little resource as possible.

Now an increasing number of organisations are looking into basic level document management to help streamline their workflow. It is crucial for such departments to understand the benefits of a good document management system that can aid their day to day processes and help them achieve significant results and a return in investment.

Document scanning is a process that has existed for a long time. However the actual hardware and software involved are constantly evolving so it is natural that methods and capabilities would evolve too. Large companies would normally install a scanner in a central location or within a particular department. Documents would then be taken to the mailroom for scanning, organized and indexed by the mailroom staff, and then the documents would be stored, returned or destroyed. Departmental scanning also worked in the same way.

While this method has often worked well (and still does), not every organisation needs a large, centralised scanning system. Sometimes organisations may not be able to afford this. Recently, however, scanning has become more affordable and easy to use for small and mid-sized businesses who can now even afford to outsource scanning work to a specialised scanning company. It makes information instantly accessible to any authorised viewers. In the same way desktop PC revolutionised computing and introduced it to the everyday user, desktop scanning integrates the power of automation, consistency, and document control on to the workstation of everyday users.

Scanning documents on to a disk or centralised electronic document management system (EDMS) has many benefits. When information is electronically available and thoroughly indexed, the data becomes searchable. Search results can be retrieved directly from your computer. Customer enquiries can be satisfied without delay. Importantly In the event of a disaster, digital data that is backed up electronically is much safer than paper versions.
