Companies not using full potential of document management
Date: 27/06/2008
Business wide research has suggested that more companies could make better use of document management and record management systems. More business reliability and value can be potentially gained and it is claimed a large chunk of the industry are still sitting on their hands.
As governance regulations become stricter, companies are hurrying implementation of document and record management systems into their offices. If more time and planning was put into this then more benefits could be reaped in the long term along with the chance to better archive and structure their data.
The best advice is to see how document and records management systems can best help the running and workflow of the organisation as opposed to basing their requirements around compliance and legislation. Critics argue important communication can then be stored and shared with will increase better workflow and efficiency.
Quick implementation often means that a lot of users in the organisation will not know how to use the new system which defeats the purpose of having one in the first place. By overlooking the potential features and benefits these systems can offer they cannot get the best out of it and it tends to cause more harm than good. Planning is the key in these situations and using good document scanning practice and effective document management and record management solutions it can turn offices processes around for the better while also leaving space for expansion and growth which can better adapt to future planning.
