Choosing the right scanner or scanning method to boost your business

Date: 23/05/2008

When you need to electronically convert oversized documents like architectural drawings, maps or engineering blueprints, it is helpful to have quick and easy scanning resources available. In this case it can be helpful to put a one off investment into a high quality large format scanner, alternatively if your scanning needs would not be as big or frequent then outsourcing wide format scanning to a scanning service bureau may be more cost effective, especially for rare occasions where you can just hand over one big document bulk.

If you are considering investing in one then a quality wide format scanner can streamline your business operations and make sure that important documents are reproduced clearly, with easy access and sharing options. Therefore it's important that you look past the prices to get the best value for your money long term by looking at the particular features of the scanners available and matching them with your company requirements

Meeting your requirements
First of all, assess what paper size you will be scanning most often. The wide format scanners range in size from 25 inches to 54 inches, but then again you don't always have to choose the scanner size to match your paper sizes. Some scanners are available with image rotation technology which can save you money by allowing you to purchase a smaller scanner and then feed your documents lengthwise. Before scanning, you can simply program the scanner to rotate the image 90, 180 or 270 degrees so you and others can view it right side up, as a result A2’s can be scanned on A3 sized scanners.

Which choice is best for me?
Selecting the best scanning method simply involves a little research to get the best out of your choice financially. If you require regular ongoing scanning then financially yes it would be best to have an office scanner which can manage these requirements.

On the other hand using a scanning service can be very helpful initially if you have documents stored away and would like them all accessible on your system or even if you just want a document load scanned once per year, this would also save a lot of time in manually scanning it all within your office. Choose the best method carefully to help your processes run as efficient as possible
